Cloud computing I would say as, Outsourced, pay-as-you-go, on demand and some where on Internet. For e.g., Google, Microsoft, Sales Force Mosso etc,. We can host applications on cloud or make use of the appliction which already been hosted by a third party like gmail, yahoo, wordpress etc,. Also application platforms are offered for the development on cloud, write the code upload the code into the cloud where application will run.

In today’s fast-paced, competitive business environment, reliable, on-time delivery of documents is critical. Clients expect to get the documents they need in a timely manner. Late or misdirected documents create an unprofessional image that can be devastating to a business’s reputation. In order to decrease distribution error and increase overall company efficiency, a superior document distribution system is needed. Such a system will be able to handle a large volume of documents in a fast, accurate manner, utilizing a variety of distribution methods if necessary. Further, this system should provide an archive of transmitted documents that is available for viewing on a regular basis, showing when and where these documents went. Notice should be given when documents are received by their intended recipients.

Companies can improve their distribution systems with a combination of mobile devices and cloud computing.

Conclusion: As cloud has the characterstics of being scalable, reliable and virtualized, document distribution becomes easy, cost effective, less complex and errorless as its very important for the organizational point of view. We can say moving to cloud has more benifits when compare its being hosted by self as its require more technical knowledge and related stuffs.

Cloud computing can be referred as “Style of computing in which dynamically scalable and often virtualized resources are provided as a service over the internet”

Cloud Computing incorporates into,

Infrastructure as a Service (IaaS) is the delivery of computer infrastructure (typically a platform virtualization environment) as a service.

Platform as a service (PaaS) is the delivery of a computing platform and solution stack as a service. It facilitates deployment of applications without the cost and complexity of buying and managing the underlying hardware and software layers.

Software as a Service (SaaS, typically pronounced ‘sass’) is a model of software deployment whereby a provider licenses an application to customers for use as a service on demand.

Key Characteristics:

Scalable – resources allocated in a dynamic fashion

Virtualized – abstracted infrastructure, apps run in an environment virtually without setup

Service Driven – pay as you go, on demand

Flexible and Reliable

What does make sense with cloud: We do believe that many applications could be moved to the “cloud”. The applications that would make sense would be email, instant messaging, project management (wiki, database, etc.), and any other type of application that would require a database to be used. This type of application management could be centralized and controlled and could also give users in the corporation many collaboration and communication options that they did not have before. With this type of interaction between departments, the communication and efficiency gained is well worth the cost of implementation.

What doesnt make sence: Heavy applications such as 3D imaging software, graphical layout software, and CAD software may not be reliable or even realistic to work on from the cloud. Unless further developments in the speed of virtualization are viable then it will be advatageous.

Cloud computing services usually provide common business applications online that are accessed from a web browser, while the software and data are stored on the servers. Companies like IBM, Amazon, Google, Microsoft Rackspace, Salesforce are some of the major cloud computing service providers.

Users need not have knowledge of, expertise in, or control over the technology infrastructure in the “cloud” that supports them.

As Document Imaging is concerned people think that scanners are the one need to make the organization paperless. But Document Imaging technology has two main areas like Capture a solution and a repository where images are stored to await further action. And more over helps in a social cause like save green and go green…

The question arises here as “can you scan to a cloud“. Answer would be yes we can and store it also for easy retrieval and usage.

Scanning or Document Imaging to cloud has many benefits like,

Minimal Capital expenditure

Device and Location Independence

Centralized storage and shared among large pool of users

Good option for disaster recovery

Storage and Transportation cost can be reduced

Minimize errors and loss

Improve responsiveness and Speed

Archive Business and IT flexibility

We can conclude this as future of business computing, “relentlessly increasing cost and complexity of maintaining infrastructure and managing business department requirements” makes cloud concept as very attracive and useful.

“Delivering a business documents through specific transmission channels like facismile, email, print etc ”

Simple and General terms can also say it as “Outbound” : The documents
send out from the Enterprise/Company/Institutions etc.
Eg: - Faxing a PO/Invoice to a vendor/customers.
Emailing a PO/Invoice to a vendor/customers.

In Olden times Document distribution used to be achieved manually. For
example if they wanted to deliver any sorts of business documents, they had
some requirements like both parties needed to have the hardware/man power etc. Now its totally changed, mean to say everything is electronically achieved which saves cost and time .

Ways of achieving

Conversion of business document to specific format before sending it out depending upon the requirments.

Storing the document for easy retrieval and management for future purpose.

Providing secured transmission of Document Distribution which eliminates data theft and loosing of data .

Using Distribution channels which are commonly used such as facismile, electronic mail, print, Electronic Data Interchange(EDI) etc.

Advantages

Saving cost and time.

Easy document management

Secured distribution .

General Introduction

Imaging is : simply making an electronic version of a piece of paper and storing it on a computer.

Generally we use a device called a “scanner” to take a picture of the document and convert it into a format that the computer can use.

Imaging has several benefits like:

Faster retrieval of documents

Reduction of filing space

Wider access to documents

Three primary parts to imaging are:

Scanning — this is taking a physical piece of paper and running it through a scanner.

Indexing — this is the process of assigning “keys” to the document.

Retrieving — once a document has been stored in the system, you need to be able to get it back and view it. Usually done by searching.

Now coming to our main topic which is,

“Document Imaging”

” It is an information technology category for systems capable of replicating documents commonly used in business.”

Document Imaging Systems can take many forms including microfilm, on demand printers, facsimile machines, copiers, multifunction printers, document scanners, Computer Output Microfilm (COM) and archive writers.

How it works ?

1. Capture: Images of paper documents using scanners or multifunction printers. Optical character recognition (OCR) software is often used, whether integrated into the hardware or as stand-alone software, in order to convert digital images into machine readable text.

2. Indexing: may be as simple as keeping track of unique document identifiers; but often it takes a more complex form, providing classification through the documents’ metadata or even through word indexes extracted from the documents’ contents.

3. Storage: Store electronic documents. Storage of the documents often includes management of those same documents; where they are stored, for how long, migration of the documents from one storage media to another (hierarchical storage management) and eventual document destruction.

4. Retrieval: Retrieve the electronic documents from the storage. Although the notion of retrieving a particular document is simple, retrieval in the electronic context can be quite complex and powerful.

5. Distribution: A published document for distribution has to be in a format that can not be easily altered. As a common practice in law regulated industries, an original master copy of the document is usually never used for distribution other than archiving. If a document is to be distributed electronically in a regulatory environment, then the equipment tasking the job has to be quality endorsed AND validated.

6. Security: Document security is vital in many document management applications. Compliance requirements for certain documents can be quite complex depending on the type of documents. For instance the Health Insurance Portability and Accountability Act (HIPAA) requirements dictate that medical documents have certain security requirements. Some document management systems have a rights management module that allows an administrator to give access to documents based on type to only certain people or groups of people.

Organizational Benefits:

Improve document access and operational efficiency throughout.

Reduce the opportunity for error

Speed transactions

Heighten security while minimizing security maintenance

‘Go Green’ – Reduce paper /Remove paper from organizational environment to reduce storage and paper-handling costs

Whenver I make a new business or personal acquaintance and the conversation leads to what I do for a living, this question is almost always asked!

What is Business Automation? Isn’t it a thing of the past where automation shifted the world economy from agrarian to industrial in the 19th century and from industrial to services in the 20th century?

I try to explain what Business Automation means in the 21st century…

Business Automation is to use SOA enabled software and SaaS services to automate a process in business to gain competitive advantage and contain costs. It consists of automation of individual processes and integration between disparate systems within (A2A) and across business boundaries (B2B).

Acronyms

SOA – Service Oriented Architecture

SaaS – Software as a Service

A2A – Application to Application

B2B – Business to Business

What do you think Business Automation is in the 21st century? I’d really like to know!
